Serial Number Manager Privacy Policy

Introduction

Serial Number Manager ("we", "our", "us") helps Shopify merchants generate serial barcodes, assign them to order items, track fulfillment, verify returns, and calculate warranty status. This Privacy Policy explains how we collect, use, store, and delete data when you install and use the app.

Information We Collect

We access and process information needed to provide serial number workflows:

  • Shop and Account Data: Shop ID, shop name, domain, contact details, locale, timezone, installation status, and Shopify plan information used to authenticate your store and operate the app.
  • Product and Variant Data: Product and variant IDs, titles, SKUs, media, and serialization settings such as barcode prefixes, label templates, and warranty periods.
  • Order, Fulfillment, and Return Data: Order and line item identifiers, order names, quantities, processing dates, fulfillment and return identifiers, statuses, and related records made available through Shopify. Synced Shopify order copies may also include customer contact, billing, and shipping fields present on those Shopify orders.
  • Serial Number Data: Generated barcode values, batch information, product and variant associations, assignment history, shipment status, return status, timestamps, and warranty calculation data. The app's custom serial and assignment records are designed around Shopify resource IDs and order names rather than end-customer profiles.
  • Operational Input and Audit Data: Merchant-entered notes, correction or retirement reasons, scanned barcode values, event history, error details, and metadata created while using the app. Free-text notes may contain whatever content merchants choose to enter.
  • Subscription Data: Shopify app subscription status, plan name, trial usage, billing interval, and subscription identifiers. Charges are handled through Shopify App Billing; we do not store payment card numbers.

Information We Do Not Intentionally Collect

  • Payment card numbers or payment credentials
  • Storefront visitor analytics or browsing behavior
  • Customer passwords or Shopify account passwords
  • Dedicated Shopify Customer records via a customer API scope
  • Data unrelated to serial number, fulfillment, return, warranty, or app subscription workflows

How We Use Your Data

  • To generate unique serial barcodes and downloadable PDF or CSV label files. PDF labels are generated on demand and are not retained as permanent app files.
  • To associate serial numbers with products, variants, order lines, fulfillments, and returns.
  • To display packing status, identify missing serial assignments, and maintain an audit history.
  • To verify returned serials, support restocking or retirement decisions, and calculate warranty status.
  • To write serial assignment and return verification summaries to Shopify metafields used by the app.
  • To manage app access, subscriptions, trials, troubleshooting, security, and compliance.

Where Data Is Stored and Processed

Serial Number Manager uses Shopify for store data, authentication, app billing, and app-managed metafields. We use Gadget.dev as our application hosting, database, synchronization, and backend processing provider. Custom serial records and Shopify-synced copies used by the app may be stored in that infrastructure. Data may be processed in the locations where these providers operate their services. We do not sell your data.

Data Sharing

We share data only as needed to operate the app, comply with law, protect our services, or respond to a valid legal request. Our service providers process data on our behalf and are not authorized to use it for their own independent marketing. We do not share merchant or customer data with data brokers or advertising networks.

GDPR and Shopify Compliance

We support Shopify's mandatory compliance webhooks:

  • customers/data_request: We process valid requests. The app's custom serial models do not store dedicated end-customer PII fields; Shopify-synced order data remains subject to Shopify and platform handling.
  • customers/redact: Custom serial records are not keyed to Shopify customer profiles. We process the request and confirm when no customer-scoped custom records require deletion.
  • shop/redact: We delete shop-scoped serial numbers, batches, assignments, return events, audit events, variant settings, and app settings from our application database.

Data Retention and Deletion

  • Active Use: Serial records and related operational history are retained while the app is installed so merchants can trace assignments, shipments, returns, and warranties. There is no automatic short-term expiry for active installs.
  • App Uninstallation: When the app is uninstalled, we initiate deletion of shop-scoped custom Serial Number Manager data from our application database.
  • Shop Redaction: We process Shopify's shop/redact request to purge the shop-scoped custom data listed above.
  • Generated Files: PDF labels are created at download time and are not kept as permanent stored files in the app.
  • Shopify Data: Data stored in Shopify, including app-managed metafields, remains subject to Shopify's controls and retention practices unless removed through the app or Shopify Admin.

Security

We use access controls, shop-scoped authorization, authenticated Shopify connections, and managed infrastructure to protect app data. No method of storage or transmission is completely secure, but we take reasonable measures designed to prevent unauthorized access, alteration, disclosure, or loss.
